Reports built around your organisation

Every FlexGenius client starts with reports based on proven templates. Our team then tailors them to your organisation, with the column headers your teams recognise and the fields you need.

You don't need to learn a report builder or design anything from scratch. Your reports are ready to use, and your account manager can help you update them as your benefits offer changes.

Reports for every part of your benefits programme

FlexGenius reporting covers four areas, so each team gets the data it needs.

Employee reports

Review employee data held on your platform, including addresses and salaries. It's a quick way to confirm your records are accurate before data reaches your providers or payroll.

Benefit reports

See what each employee has selected for a specific benefit, including family members' details where relevant. Each report follows your provider's layout and column headers, so they have the information they need to update their records in one place.

Payroll reports

See the cost of each employee's benefit selections in a report tailored to your payroll system. Whether your payroll provider needs a simple or more complex file, the report matches their requirements.

Reward and recognition reports

If you use reward and recognition, dedicated reports show how employees engage with your programme. Track reward budgets, see who has received rewards and nominations, and review points balances, redemptions and e-cards sent across your organisation.

Scheduled reports that run themselves

You don't need to remember to run your regular reports. We schedule them according to each benefit's reporting requirements:

  • After every window: monthly reports run the day after a benefit window closes
  • For annual benefits: benefits offered once a year are reported once a year
  • For new joiners: benefits available to new joiners are reported every month

Each scheduled report is ready to share with your provider or use to update payroll.

Scheduled reports are archived for 12–18 months, depending on your settings. If you need a report from six months ago, it's there.

“We have received great feedback from our staff members about the system – how it is easy to use, aesthetically pleasing and it’s certainly helped from an admin perspective.

“The reporting is nothing short of brilliant – we’ve had issues in the past where invoices / payments have been missed to providers. But with our scheduled reports in place, this has massively reduced room for error and it is certainly of help to our accounts team / payroll provider. We were under very tight time constraints with the launch of our annual benefit window and the FlexGenius team were so hard working and meticulous with the build and implementation.”

See exactly what's changed

Scheduled reports can include comparisons with previous reports. The system compares the latest report with one from an earlier date and highlights what's changed.

You don't need to compare two spreadsheets line by line. It's a clear list of the updates your provider or payroll team need to action.

Run a report whenever you need one

Authorised admins can run any of the reports built for your organisation at any time. Reports use live data, so you always see the current picture.

Need a wider view? Admins can switch off certain report conditions. For example, turn off the ‘enrolled’ condition to see both current and previous benefit selections.

Data your team can work with straight away

Every report downloads as an Excel spreadsheet. Your team can sort and filter by any column, share data with providers and payroll, and work with it in tools they already use.

Secure access for named admins

Benefits reports contain personal employee data, so access is tightly controlled.

  • Approved admins only: an authorised person at your organisation must sign a formal request to grant admin access
  • Dedicated admin accounts: admins use a separate account, not their everyday employee login
  • Two-factor authentication (2FA): every admin signs in with a username, password and 2FA
  • Employee data stays protected: only named admins can access reports

The platform is hosted in Microsoft Azure in the UK, with ISO 27001 information security certification, GDPR-compliant processing, role-based access controls and full audit logging.

Less admin for your HR and reward team

Less admin for your HR and reward team

  • No reports to build: our team sets up and maintains your reports, so you don't need specialist reporting skills
  • No last-minute data requests: scheduled reports are available the day after a benefit window closes, so your providers and payroll teams have the data they need
  • Answers questions easily: archived and comparison reports make it easy to check what changed and when

Employee benefits reporting FAQs

How long does it take to set up our reports? +

We set up your reports as part of your platform implementation, so there's no separate project. Implementation typically takes around eight weeks, depending on your organisation's size and requirements.

Can we change our reports after launch? +

Yes. As your benefits offer changes, our team can update your reports. This includes renaming column headers, adding or removing columns and setting up reports for new benefits. Speak to your account manager about what you need.

Can reports be sent to our providers or payroll automatically? +

Yes. Reports can be sent automatically to a secure SFTP location used by your provider or payroll team. Our team sets up the export schedule, so you don't need to download and send files manually.

Can we see benefits data by department, location or employee group? +

Yes, if that information is included in your report. You can filter data by any column in Excel, including department, location or employee group, provided these fields are included in your report.

Can we report on employees who have left? +

Yes. Employee data is archived for 60 months after an account is closed. Until then, you can still report on former employees and review their available account activity.
